The Group Scheduler lets you schedule group appointments
(meetings, presentations, etc.) for users and resources. RHM
sends an E-Mail message to persons scheduled to attend the group
appointment, notifying them of the impending meeting. You can
also have RHM automatically search through individual personal
schedules for the next open time slot for all specified users
and resources.
When you go in to the Group Scheduler, the current day is
displayed in the header of the appointment window. The calendar
for the current month is displayed to the right of your screen.
You can change the appointment day by using the Arrow Keys and
month by using the <PgUp> or <PgDn>. Pressing the <HOME> key will
return you to the current day.
When viewing the status of a group appointment, several
symbols are used to display various information about the status.
They are explained below.
??? Tentative: has not been accepted or declined
Accepted : has been accepted
... Declined : has been declined
■■■ Personal : previously scheduled personal appointment
File:
New: Creates a new group appointment. You can also
create a new appointment by pressing the <Ins>
key. The Appointment Creation menu appears after
selecting this option (see below for additional
information).
Open: Lets you read/edit the highlighted group
appointment. The graphic display lets you view at
a glance which users have "accepted" or "declined"
the appointment. Same as pressing <Enter> on the
highlighted appointment. Group appointments can
be edited only be its creator.
Save: Saves the appointment you've just created to the
list of appointments. Same as Complete.
Delete: Deletes the highlighted appointment. A group
appointment can only be deleted by the user who
created it, or the global user. Same as pressing
the <Del> key.
Exit: Exits the Group Scheduler module, bringing you
back to the main program screen or to any
underlying modules.
Appointments: Allows you to edit group appointments for the
displayed day. Same as pressing Enter from the
calendar.
Options:
Search: With this command you can search through all
appointments (forward or reverse) for a particular
text string. This option will search the
appointment subject field, not the appointment
notes.
Go To: Go to a new date. Simply enter the month and year
you wish to display.
Appointment Creation Menu:
Complete: This command is the final step in creating a group
appointment. Upon your confirmation of
appointment information, the appointment is added
to the list of group appointments and the
participants are notified via E-Mail.
Scan: Searches for the available time slot where all
participants can attend the appointment.
Participants:
Allows you to edit the list of participants
scheduled for the group appointment where you can
add or delete users, groups and resources.
Event: Allows you to edit the appointment subject, time,
date and alarm status.
